Cake Smash Prep Guide & Client Contract

Listed below are a few things to help you prepare for your little one's upcoming 1st birthday session.

  • Please try to make sure your child has napped before their session.

  • This session includes 3 outfit changes which include the cake smash outfit. Clients are responsible for providing the outfits. Outfits should match the child's set.

  • Bring wipes or a bath towel for easy clean-up.

  • Please bring Puffs, Gold Fish Crackers, or Cheerios with you.
    ( These are sometimes used during the session for the cake.)

  • Parents, wear clothes that you do not mind getting cake icing on.

  • Please make sure your child has a clean face and free of of boogies!

  • Don't forget the cake or the chosen food your child will be smashing! 

 

Sometimes babies are not fond of the texture of the cake, and that's okay! No worries! Shonda has a couple of tricks up her sleeve. It's recommended to practice with a cupcake a few days before your session, to allow your child to get used to the cake.

  • Cookies
  • Pies
  • Pizza
  • Soft Tacos
  • Ice Cream
  • Whipped Cream

What should my child wear?

If you have booked the Cake Smash package:

Please dress your child in coordinating outfits that match the child's session theme. You can have up to 3 outfit changes (this includes the cake smash outfit) for the 1 themed backdrop.


If you have booked the Deluxe 1st Birthday package:

Please dress your child in coordinating outfits that match the child's session theme, and an outfit(s) for classic milestone portraits on a white solid backdrop. Yes, white clothing on a white backdrop will look timeless.
You can have up to 3 outfit changes, total. This includes the cake smash outfit

How Do I Pay My Remaining Session Balance?

Your remaining balance is due on the date of the session. 
Shonda Hope Photography ONLY accepts the following payment methods.

  • Cash
  • Credit or Debit Card
  • Apple Pay

PayPal Invoices are no longer accepted for remaining session balances under any circumstances.

What do I do if my child is sick for their session?

To help maintain a safe and healthy environment for all clients, especially newborns and young infants, any session must be rescheduled if the child being photographed, a parent, sibling, or anyone attending the session is experiencing illness symptoms. This includes, but is not limited to, fever, vomiting, diarrhea, contagious illnesses, or a fever associated with teething.

If any attendee has had a fever within the previous 24 hours or is actively unwell, please notify Shonda as soon as possible so the session can be rescheduled. Sessions may resume once all individuals are symptom-free and feeling well.

Because newborns and young babies visit the studio regularly, maintaining a clean, healthy, and germ-conscious environment is essential. The photographer, Shonda,  reserves the right to reschedule any session if illness is suspected in order to protect the health and safety of all clients.

Diapering

For the cleanliness and protection of all clients, all babies and children who wear diapers must have their diapers changed on the provided changing table. Diaper changes may not take place on the couch or any other studio furniture. Please use the designated changing area for all diaper changes and dispose of diapers properly. Thank you for helping us keep the studio clean, sanitary, and comfortable for everyone.

When Will I Receive My Gallery?

Shonda hand-edits every single image for each session. Processing and editing take at least 3 weeks. It's encouraged for clients to book early, especially for birthday sessions to ensure your images are back to you in time!
 
You can expect to receive your online gallery 21 days after your session date. Your online gallery is password protected and emailed directly to you!

Client: If you do not see your email after 21 days, please check your spam folder.



Please do not print Shonda Hope Photography's watermarked images.

Leave it to the professional.

Absolutely NO photos or recording of any kind is allowed during your session.

Studio Policies
Cellphones & Recording Devices

While your session is taking place, you or anybody else may NOT use your cellphone, personal camera, or camcorder to take photos or record any of your sessions. 
The photographer can and will stop the session and terminate the session if you use any of the above devices to take photos/videos of the session taking place. 

By signing below, you are aware of this policy and have read and agreed to not take photos or video at any point during your session.

  • Payment and Fees:

Shonda Hope Photography session fees include high-resolution edited images in an online gallery OR a purchased USB. Fees are set to cover the photographer's time and artistic editing. Fees are subject to change at any time. 

Cash, Apple Pay, and major debit/credit cards are accepted. 

If paying with a credit or debit card, a minimal processing fee of 2.29% + 0.09 will be charged to the remaining balance. 

  • Studio Etiquette:

Children MUST be supervised at all times.

Children/subjects are NOT allowed on studio props or equipment unless instructed by the photographer.

Due to negligence, clients will be responsible for damages or repairs to the studio, studio props, and equipment, i.e.

Clients and children are NOT allowed on the retaining wall or in the yard of Shonda Hope Photography's studio property.

 

 

  • Late Policy:

If you are late for your session, extra time will not be given. Certain allotted times are given for sessions.

Extra time will not be given due to the lack of cooperation of the child or subject.

  • Reshoots:

Reshoots are to be determined at the discretion of the photographer.

Reshoots and refunds WILL NOT BE GIVEN for poor choices in clothing, makeup, hairstyles, or the cooperation of subject issues, i.e., child's cooperation.

  • Rescheduling:

If you or your child is sick, you must reschedule or cancel your session. 
The retainer fee will roll over ONE time for the same session that was scheduled. This excludes mini-sessions, fall sessions, and Christmas sessions.

Mini Sessions, Fall Sessions, and Christmas sessions CANNOT be rescheduled, no exceptions. You must cancel your session.
The $30 retainer fee is non-transferable and non-refundable, no exceptions.

 

Portrait Policies

 

Portrait galleries will be emailed to the client 21 days after the client's session date. 


Do NOT alter, edit, or add filters to Shonda Hope Photography's work. This includes Instagram filters, any editing filters, or software. All imagery and portraits are property of Shonda Hope Photography and copyrighted material.

 

No RAW files or unedited images will be given to the client under any circumstance, nor can they be purchased.

 

Images are chosen at the photographer's discretion. Clients only receive the number of images offered in the session package.

 

Policies Concerning COVID -19 and Illness

Concerning COVID-19 and illness, listed below are policies and precautionary measures that are implemented and must be followed by everyone coming to Shonda Hope Photography Studio. Please read this carefully and in entirety. 

Client Guidelines For Studio Sessions: 

  • Illness & Rescheduling Policy:

  • Please only bring immediate family members to your session with a maximum of 3 people. (This number does NOT include the child being photographed.)    

 

Precautionary Measures Implemented by Shonda Hope Photography: 

  • Shonda is being extra proactive with everyone’s health in mind. The studio is excessively sanitized before and after each session in the studio.  
     

  • All props and fabrics are also deeply sanitized. 

 

 

  • Regular handwashing and sanitizing will be implemented throughout the session. 

Client Guidelines for Outdoor Sessions: 

  • If you or your child are sick or showing ANY signs of illness or fever you MUST reschedule your session. No exceptions.  

The retainer fee will transfer to another date ONE time only. Any other rescheduling after that will require an additional retainer fee to be paid. 

 

  • Please only bring family members who are being photographed.

  • All props are also deeply sanitized. 

Photo Release, Copyrights , & Portrait Printing
Shonda Hope Photography retains copyrights to all portraits. Clients only receive printing rights. Images are property of Shonda Hope Photography.  

Shonda Hope Photography offers professional printing of portraits that can be purchased within the client's online gallery. If the client decides to purchase prints elsewhere, Shonda Hope Photography is not responsible for any third-party printing companies, kiosks, or printing lab's quality and color of portraits.
