2025 Christmas Sessions Prep Guide & Contract

This prep guide is for all Christmas session clients and only pertains to the specific Christmas session you are scheduled for. 

Below are a few things to help you prepare for your upcoming Christmas session. Please read this page in its entirety. 
 
Your client contract, attached below, must be completed before you arrive for your session.

  • Your remaining balance is $50. Cash, credit/debit cards, and PayPal are accepted. Payment is due on the day of the session.

  • Sessions are booked back to back. Please arrive promptly at your scheduled session time. One late appointment can throw off the whole day's schedule. No extra session time will be given if you are late for your session.

  • No extra session time will be given if children are uncooperative. 

  • Please make sure your child /children are dressed and fed before you arrive for the session. We need to be ready to go once you arrive for your session.

  • Please message me when you have arrived for your session. If you are early for your session, please remain in your vehicle until the clients before you have left the studio.

    You can also park at the First Apostolic Church's parking lot and wait until your turn to pull down to the lower driveway. When it is your turn, please park in the studio's lower driveway.

  • If you have little ones, please try to let them nap before their session.

  •  Your session will begin at the time you booked. Sessions are booked back to back, and arriving very early does not mean your session time will be any earlier. 

Christmas Sessions cannot be rescheduled. If you cannot come to your session, you MUST cancel.

Cash or Card Payments only Accepted! Invoice payments will NOT be accepted for final payment.

What should my child or family wear for our session?

A Night Before Christmas

Christmas pajamas are recommended for this session. Colors: Red, Christmas Green, Navy, Cream, Christmas Plaid.

The Christmas Cabin

Traditional Christmas colors are preferred. Red, Christmas Green, Cream

Mrs. Claus Kitchen

Traditional Christmas colors are preferred.

The Reindeer Barn

Traditional Christmas colors are preferred. Overalls, jeans or "outdoorsy" attire is perfect for the barn feel.

When Will I Receive My Gallery of 5 Images?

Christmas time is a very busy season for SHP. There are over 150+ booked sessions this year. Your kindness and patience are very appreciated during this time. I hand-edit every single image for each session. Processing and editing takes at least 3weeks.
 
You can expect to receive your online gallery 21 days after your session date. Your online gallery is password-protected and emailed directly to you!

Client: If you do not see your email after the 21st day, please check your spam folder. There is no need to message for an estimated time frame within this waiting period. Please allow the full day of the 21st day, as I edit into the night as well. 
Please do not print Shonda Hope Photography's watermarked images.

Sneak peeks are NOT posted until the galleries are emailed. 

All session galleries will be emailed in time for Christmas cards and gifts.

Sessions photographed on a Saturday will NOT be emailed until Sunday (22 Days).

Studio Policies

While your session is taking place, you or anybody else may NOT use your cellphone, personal camera, or camcorder to take photos or record any of your sessions. 
The photographer can and will stop the session and terminate the session if you use any of the above devices to take photos/videos of the session taking place. 

By signing below, you are aware of this policy and have read and agreed to not take photos or video at any point during your session.

  • Payment and Fees:

Shonda Hope Photography session fees include high-resolution edited images in an online gallery OR purchased USB. Fees are set to cover the photographer's time and artistic editing. Fees are subject to change at any time. 

Cash, PayPal, and major debit/ credit cards are accepted. 

 

  • Studio Etiquette:

Children MUST be supervised at all times.

Children/subjects are NOT allowed on studio props or equipment unless instructed by the photographer.

Due to negligence, clients will be responsible for damages or repairs to the studio, studio props, equipment, i.e.

Clients and children are NOT allowed on the retaining wall or in the yard of Shonda Hope Photography's studio property.

 

 

  • Late Policy:

If you are late for your session, extra time will not be given. Certain allotted times are given for sessions.

 

  • Reshoots:

Reshoots are to be determined at the discretion of the photographer.

Reshoots and refunds WILL NOT BE GIVEN for poor choices in clothing, makeup, hairstyles, or the cooperation of the child or subject.

 

  • Rescheduling / Canceling your Session:

If you or your child is sick or if you cannot attend your session, you must CANCEL your session. 

Due to limited availability for these sessions: Mini Sessions, Fall Sessions, and Christmas sessions CANNOT be rescheduled, no exceptions. 
The $30 retainer fee is non-transferable and non-refundable, no exceptions.

 

 

Policies Concerning COVID -19 and Illness

Concerning COVID-19 and everyone’s health, listed below are policies and precautionary measures that are implemented and must be followed by everyone coming to Shonda Hope Photography Studio. Please read this carefully and in entirety. 

Client Guidelines For Studio Sessions: 

  • Due to COVID-19 and Illnesses: If you or your child are sick or showing ANY signs of illness or fever you MUST cancel your session. No exceptions.  If you or anyone in your family has been exposed to COVID –19 or a virus, you MUST cancel your session. 
     
     

  • Face masks are not mandatory. Your photographer is fully vaccinated for Covid-19, and will be wearing a mask for ALL newborn sessions, and upon request for other studio sessions.
     

Precautionary Measures Implemented by Shonda Hope Photography: 

  • Shonda is being extra proactive with everyone’s health in mind. The studio is excessively sanitized before and after each session in the studio.  
     

  • All props and fabrics are also deeply sanitized. 

 

 

  • Regular handwashing and sanitizing will be implemented throughout the session. 

Portrait Policies

 

Portrait galleries will be emailed to the client 14-21 days after the client's session date. 


Do NOT alter, edit, or add filters to Shonda Hope Photography's work. This includes Instagram filters, any editing filters, or software. All imagery and portraits are property of Shonda Hope Photography and copyrighted material.

 

No RAW files or unedited images will be given to the client under any circumstance, nor can they be purchased.

 

Images are chosen at the photographer's discretion. Clients only receive the number of images offered in the session package.

 

Photo Release, Copyrights , & Portrait Printing
Shonda Hope Photography retains copyrights to all portraits. Clients only receive printing rights. Images are property of Shonda Hope Photography.  

Shonda Hope Photography offers professional printing of portraits that can be purchased within the client's online gallery. If the client decides to purchase prints elsewhere, Shonda Hope Photography is not responsible for any third-party printing companies, kiosks, or printing lab's quality and color of portraits.
